Create your organization
An organization takes about a minute to create. You give it a name, Licentio starts a 30-day trial with no card required, and you land on a dashboard ready for you to invite your team. There are two ways in, depending on whether you already have a Licentio account.
Create an organization when you sign up
If you're new to Licentio, create your account as usual. After you agree to the terms, Licentio asks how you'll use it. Choose I'm setting up an organization ("Manage members, billing, and oversight for a clinic, agency, or training program").
The next screen is Name your organization:
- Enter the Organization name. Use the name your associates and supervisors will recognize; it's what your team sees across the app and what appears on your invoices.
- Select Create organization.
That's the whole setup. Licentio takes you to your new organization's dashboard.
Create an organization from an existing account
Already tracking your own hours, or already supervising? You don't need a second account. Open the account menu (top right), select Settings, then the Workspaces tile. Under Start an organization, select Create an organization. The same Name your organization screen appears.
Your existing Independent workspace stays exactly as it is. The organization is a second workspace you switch to from the account menu. See Workspaces.
What you get
- You're the Director. The person who creates an organization holds the Director role, which has full access: members, supervision, billing, settings, and the audit trail. See Roles and permissions.
- A 30-day trial, no card required. Your organization's Billing page shows the exact date it ends. To keep going past that date, choose a plan and add a card. See Plans, seats, and billing.
- A web address. Licentio derives a short web address for your organization
from its name (for example,
bright-futures-counseling). Links your team saves use it. You can rename the organization later; the web address stays fixed. - An empty dashboard that fills in as people join. Until anyone accepts an invitation, the dashboard shows Invite your team with a shortcut to the Members page.
The order that works best from here: invite your members, then connect supervision so the hours your associates log start showing up in your organization's records.
Gotchas
- The organization name is what your team sees. It goes on the workspace switcher, the dashboard, and your invoices. Pick the name people know, not an internal code.
- Nothing is added to anyone's account until they accept. Creating an organization and inviting people doesn't touch their existing Licentio data. Only accepting an invitation adds the workspace to their account.
- If you signed up as an organization first, you won't have an Independent workspace. That's deliberate: a Director who isn't tracking their own hours doesn't need one. The Director role carries no logging or supervision pages, so if you later need to log your own hours or supervise associates yourself, turn Independent on from Settings → Workspaces. See Workspaces.
FAQ
Do I need a card to start? No. The 30-day trial starts without one. Add a card and choose a plan from the Billing page before the trial ends to keep your team working without interruption.
Can I change the organization's name later? Yes, from the organization's Settings page. The web address chosen at creation doesn't change. See Settings and the audit trail.
Can I create more than one organization? Yes. Each is a separate workspace with its own members, billing, and settings. Repeat the steps under Start an organization.
I'm an associate. Should I create an organization for my agency? Usually the agency should. Whoever creates it becomes its Director and is responsible for billing. If your employer wants oversight of your hours, point them to this page and ask them to invite you.
