Log your hours
Log hours is your primary action, available from every screen. Licentio gives you two ways to log, because logging a quick batch of events and capturing a single meeting in detail are different jobs.
Two ways to log
- Multi-session logging (the default Log hours screen) — add a line for each session and log a day or a week at once. This is how most associates work.
- A single supervision meeting — capture one session with detailed notes. There's a link to this form at the bottom of the multi-session screen ("Use the supervision-meeting form"), and back again from it.
Log a batch of sessions
Open Log hours. The screen has two parts: defaults you set once, and the sessions themselves.
Set your session defaults
Under Session defaults, set the values most of your sessions share so you're not repeating them on every line:
- Default supervisor. Either Pick from your supervisors (anyone you've connected in Licentio) or Enter a supervisor by name.
- Default session format — In person or Virtual.
Select Apply defaults to all sessions to push these onto the lines you've already added.
Add each session
Each session line takes:
- Date.
- Category — what kind of activity this was. See Categories and activity types.
- Duration — enter hours and minutes (
1:30) or decimal hours (1.5). - Format and Supervisor, which start from your defaults but can be overridden per session.
- Optionally, Add a note.
Select Add another session for the next line. A running count ("3 sessions · 6 hours total") keeps you oriented. When everything looks right, select Log hours.
Log a single meeting
The single-meeting form takes the same fields — date, duration, category, format, supervisor — plus a Notes field for detail you want on the record. Use it when one session deserves a fuller description than a quick line.
About your supervisor choice
How you attach a supervisor decides how the hours are verified:
- Pick from your supervisors — hours logged with a connected Licentio supervisor are verified in the app automatically once they approve.
- Enter a supervisor by name — use this when your supervisor isn't on Licentio yet. The hours stay pending until that supervisor verifies them.

Gotchas
- The category decides how an hour counts. The same 90 minutes counts differently as direct client contact versus supervision. Pick the category that matches what actually happened. See Categories.
- "By name" hours sit pending. If you log against a supervisor who isn't on Licentio, those hours won't count until that person joins and verifies them. Don't let a pile of pending hours build up.
- Log weekly. Reconstructing categories and durations from memory weeks later is how mistakes get in. A few minutes each week keeps the log accurate.
FAQ
Should I use multi-session or the single-meeting form? Use multi-session for routine logging of several sessions. Use the single-meeting form when one session needs detailed notes.
Can I log hours for a supervisor who doesn't use Licentio? Yes. Choose Enter a supervisor by name. Those hours are held as pending until that supervisor is on Licentio and verifies them.
How do I enter a 90-minute session?
Type 1:30 (hours and minutes) or 1.5 (decimal hours). Either works.
Where do my logged hours go? Into your record immediately, as Awaiting review until your supervisor approves them. Track them under your events list and on Validation.
