Log your hours

Record supervision sessions a day or a week at a time, with the right supervisor, category, and workplace.

Log hours is your primary action, available from every screen. The form is built for the way most clinicians actually work: add a line for each session and log a day or a week at once, with defaults that carry across lines so you're not repeating yourself.

Set your session defaults

Open Log hours. Under Session defaults, set the values most of your sessions share. Every new session picks them up, and you can override any session.

  • Default supervisor. Two tabs: Your supervisors (anyone you've connected in Licentio; hours logged with them are verified in the app) or Enter by name (for a supervisor who isn't on Licentio yet; those hours stay pending until they verify).
  • Default session formatIn person or Virtual.
  • Default workplace or setting — optional. If you work at more than one site, naming where you worked these hours keeps the weekly supervision rules accurate per workplace.

Select Apply defaults to all sessions to push these onto lines you've already added.

Add each session

Under Sessions, each line takes:

  1. Date.
  2. Category — what kind of activity this was. See Categories and activity types.
  3. Duration — type hours and minutes (1:30), decimal hours (1.5), or switch the unit dropdown from Hours to Minutes and enter 90. A single session can't be longer than 24 hours.
  4. Format — starts as Default; pick a value to override this line.
  5. Supervisor — shows the default. Select Change to pick a different supervisor for this session only, or Use the default supervisor to go back.
  6. Set workplace — override the default workplace for this line.
  7. Add a note — optional. Keep notes free of client-identifying details.

Select Add another session for the next line. A running count ("3 sessions · 6 hours total") keeps you oriented. You can log up to 50 sessions at once. When everything looks right, select Log hours. View my events in the header opens your full ledger.

About your supervisor choice

How you attach a supervisor decides how the hours are verified:

  • Your supervisors — hours logged with a connected Licentio supervisor go to their queue for review.
  • Enter by name — you give the supervisor's name and, optionally, their email. Those hours are held as Pending verification. When that supervisor joins Licentio, your dashboard offers Link these hours to Name so they can be reviewed; adding their email is what lets Licentio make that offer.

If you belong to an organization and it has connected your supervision, the sessions you log under that supervisor are visible to the organization from the date it disclosed to you: date, duration, category, and supervisor, never your notes. Hours under a supervisor the organization hasn't connected stay between the two of you. See Joining an organization.

Gotchas

  • The category decides how an hour counts. The same 90 minutes counts differently as direct client contact versus supervision. Pick the category that matches what actually happened. See Categories.
  • "By name" hours sit pending. If you log against a supervisor who isn't on Licentio, those hours won't count until that person joins and you link the entries to them. Don't let a pile of pending hours build up.
  • Name your workplace if you have more than one. The weekly supervision rules apply per setting. Leaving the workplace blank when you split time between sites can make a week look short on supervision.
  • Log weekly. Reconstructing categories and durations from memory weeks later is how mistakes get in. A few minutes each week keeps the log accurate.

FAQ

Can I log a single session with detailed notes? Yes. Add one session line and select Add a note. There's no separate form for one meeting; the same screen handles one line or fifty.

Can I log hours for a supervisor who doesn't use Licentio? Yes. Choose Enter by name. Those hours are held as pending until that supervisor joins Licentio and you link the entries to them from your dashboard.

How do I enter a 90-minute session? Type 1:30 or 1.5 with the unit set to Hours, or switch the unit to Minutes and type 90.

Where do my logged hours go? Into My events immediately, as Awaiting review when your supervisor requires approval. Track them there and on Validation. See Edit or delete an event.
