Settings and the audit trail
Two organization pages round out administration. Settings holds the handful of facts about the organization itself; Audit is the record of who changed what.
Organization settings
Open Settings in the organization sidebar (Directors and IT). One form, three groups, and Save changes at the bottom:
Name and address
- Organization name — what your team sees across the app, and the name on your invoices. Change it any time.
- Web address — the short address in your organization's URLs, chosen from the name when the organization was created. It's shown but can't be edited, so links your team has already saved keep working.
Billing contact
- Contact email — where invoices, receipts, and renewal notices go. Leave it empty to keep using the address of whoever created the organization. See Plans, seats, and billing.
Supervision defaults
- Default approval workflow — how often supervisors review events for supervision your organization sets up: No organization default, No approval required, Approve each session, Approve weekly, or Approve monthly. It applies to supervision created through a proposal on the Supervision page. Supervision already underway keeps the workflow those two agreed on, and either of them can change it later. There's no archive or delete control here. An organization closes only by cancelling its plan from the Billing page, at the end of the paid period.
The audit trail
Open Audit in the organization sidebar (Directors and Auditors). It's a record of membership, billing, and organization changes for your team, newest first, with When, Activity, and Who. Filter by Category (Any, Export, Organization, Membership, Billing) and a From/To date range, then Apply.
Each entry is a plain sentence, for example A member was added, A member's role or permissions changed, An invitation was resent, Organization settings changed, Trial started, Billing became active, Billed seat count updated, Cancellation requested, or Team data was exported. Who names the member who made the change, or Kaweah Tech support or System when it wasn't a member.
What's not here: session content, hours, or anyone's clinical record. This is the administrative ledger, built so an Auditor can answer "what happened to the records" without seeing what's in them.
Gotchas
- The web address is permanent. Choose the organization's name with care at creation; renaming later changes the display name only.
- The approval default only reaches new proposals. Setting it after you've connected supervision doesn't change existing relationships. Ask the supervisor to adjust the mode from their supervisee's detail if needed.
- An empty Contact email means the creator gets the invoices. If the person who created the organization moves on, set this before they do.
FAQ
Can I change the web address? No. It's fixed at creation so saved links keep working. Contact support@licent.io if there's a real problem with it.
Who can read the audit trail? Directors and Auditors. It's the Auditor's core surface, alongside team progress and reports.
Does the audit trail show what an exported file contained? It shows that an export happened, when, and who did it. The file itself isn't stored.
Can I delete the organization? Not directly. Cancelling the plan from Billing closes the organization at the end of the paid period; the panel there explains exactly what that means. See Plans, seats, and billing.
