Add a supervisor

Your supervisor has to attest to your supervised experience, so connecting them in Licentio is one of the first things to do. Open Supervisors to see who supervises your work and to invite someone new.

The page lists your Active supervisors, any Pending invitations waiting on a response, relationships Waiting on sign-off as they close, and your Past supervisors.

Invite a supervisor

Select Invite a supervisor and provide:

1. Their email address. Licentio emails them an invitation; they accept or decline from the link.
2. Supervision start date — when the relationship began. This matters: hours you logged before this date won't be tied to this supervisor.

Send it, and the invitation shows under Pending invitations until they respond. You can cancel it from there if you sent it to the wrong address.

The invite dialog also links the BBS paperwork for the relationship: the Supervision Agreement (DCA BBS 37M-300), or for supervision that began before 2022, the Supervisor Responsibility Statement and Supervisor Plan. Keep agency-internal documents (informed consent, internal agreements) with your own records; Licentio doesn't store those.

Complete the Supervision Agreement together

California requires a signed Supervision Agreement (BBS 37M-300) within 60 days of starting supervision, and Licentio fills and signs the official form with you and your supervisor. Each row on your Supervisors page carries a badge that tells you where it stands: Agreement not started, Sign supervision agreement (your turn), Agreement awaiting signature (theirs), or Agreement signed.

Open it from the row menu (⋮) → Supervision agreement. Your supervisor reaches the same agreement from your detail on their Supervisees page, and is offered it right after accepting your invitation.

1. Develop the plan together. The Goals and objectives of supervision field is Part III of the form, and either of you can write or edit it. Your supervisor also records their employer and any approved-supervisor designation. Select Save.
2. Both of you sign. Under Signatures on the current plan, each of you ticks the attestation for your part of the form (the full statements are on the official form, linked from the card), types your full name, and selects Sign the agreement. Either of you can sign first.
3. Download it. Once both signatures are on the current plan, select Download the signed agreement and keep the PDF for your records and your licensure application.

Supervision your organization proposes

If you belong to an organization, it can propose a supervisor for you instead of you sending an invitation. A Supervision to confirm card appears on this page and on your organization dashboard, naming the supervisor, the date supervision begins, and the date from which the organization will be able to see hours logged under it. Select Confirm to accept or Decline to turn it down. Nothing takes effect until both you and the supervisor confirm, and a proposal expires after two weeks.

Your organization can also bring a relationship you already have under its umbrella, if your supervisor is a member too, choosing the date its visibility starts. Either way, what the organization gains is a view of hours logged under that supervisor from the disclosed date; the relationship, and your record, stay yours. See Joining an organization.

Manage a relationship

Once a supervisor is active, the row menu (⋮) next to their name lets you:

• Supervision agreement — open the 37M-300 described above.
• Set as primary supervisor — designate your primary. Until you do, none is marked primary.
• End relationship — close out a relationship when a placement ends. Licentio emails your supervisor a sign-off link for the hours you logged under them; they have 30 days to attest, and the relationship stays read-only under Waiting on sign-off (with Resend the email and Cancel sign-off request) until they do. Once they sign, it closes, the signed record is archived on your account, and the supervisor moves to Past supervisors.
• Mark supervisor as deceased or unavailable — for when a supervisor can no longer verify your hours. The flag is permanent on that relationship. After it, the menu offers End with memo (supervisor unavailable), which walks you through the supervisor unavailability memo: your explanation, the date, and how you learned of it. Filing it generates an unsigned partial Detailed Hours Log plus the memo, which the BBS accepts together, and archives both on your account.

Gotchas

• Sixty days goes quickly. Start the Supervision Agreement as soon as the relationship is active. An unsigned agreement is a documentation gap the board can flag at application time.
• A pending invitation isn't a connection yet. Until your supervisor accepts, hours you attribute to them stay pending. Follow up if an invitation sits unanswered.
• Ending a relationship is deliberate. It closes the relationship and starts the sign-off. Use it when a placement genuinely ends, not to tidy the list.

FAQ

My supervisor isn't on Licentio. Can I still track their hours? Yes. Invite them by email, or when logging choose Enter by name. Hours stay pending until that supervisor joins and you link the entries to them. See Log your hours.

Can I have more than one supervisor? Yes. Many associates work under several supervisors across placements. Add each one, and attribute events to the right supervisor as you log.

What is the primary supervisor? It's the supervisor you designate as primary from the row menu. It's optional; until you set one, none is marked primary.

My organization proposed a supervisor. Do I have to accept? No. Select Decline on the Supervision to confirm card. If you'd rather work with someone else, you can still invite a supervisor yourself from this page.

What happens when I end a relationship? The relationship closes and Licentio starts the sign-off process, where your supervisor attests to the hours they oversaw so those hours are locked into your record. See Getting your hours signed off.
