Review and approve hours
Reviewing your supervisees' hours is the heart of the supervisor role. Licentio gives you two views for it: the approval queue for working through everything at once, and each supervisee's detail for a closer look at one person.
The approval queue
Open Approvals to see every event waiting on you, grouped by supervisee and submission. For each group you can Approve all at once, or act on events one at a time with Approve and Reject. Select all and Load more help you move through a large queue.
Each event shows the supervisee, date, duration, and category — the facts you're attesting to.
Reviewing one supervisee
Select a supervisee to open their detail. There you'll find:
- Their pathway, relationship start date, hours to date, and last activity.
- Approval workflow — how often you want to review this supervisee's events.
- Events under this relationship — every event, filterable, with its current approval status ("Approved" or "No approval on file").
Set your review cadence
Under Approval workflow, you choose how often you review this supervisee's events. There are four modes:
- Approve each session — every event comes to you individually for approval. This is the default when a relationship begins.
- Approve weekly — review events in weekly batches.
- Approve monthly — review events in monthly batches.
- No approval required — events count toward the supervisee's licensure as soon as they're logged, with no review step.
Changing the mode never rewrites approvals you've already decided; new events follow the new mode from then on. One switch does reach back, and helpfully so: turning off No approval required surfaces events that were logged with no review step — they never had an approval decision — so they land in your queue instead of sitting uncounted.
Approving and rejecting
- Approve an event and its hours become verified for the supervisee, counting toward their licensure.
- Reject an event and you add a brief reason. The supervisee gets your feedback, edits the event, and resubmits it.

Gotchas
- Rejections need a usable reason. "Rejected" with no guidance leaves your supervisee guessing. Say what needs to change so they can fix and resubmit in one pass.
- Cadence changes don't rewrite your decisions. Switching how often you review affects new events going forward; anything you've already approved or rejected stays decided. The lone exception, described above, is turning off No approval required, which surfaces earlier events that never had a review.
- A backlog blocks your supervisees. Their hours don't count until you approve. If your queue is deep, work oldest-first so nobody's early hours sit unverified.
FAQ
Can I approve a whole batch at once? Yes. The approval queue groups events by supervisee and submission, and each group has an Approve all. Use it when you've reviewed the batch and it's clean.
What happens when I reject an event? Your supervisee receives your reason, edits the event, and resubmits it into your queue. Nothing is deleted; it comes back around for another look.
Can I review without signing in? Yes. The email Licentio sends when a supervisee submits hours lets you approve or reject right from the message. See Approving and signing from email.
What's the difference between approving events and the final sign-off? Approving keeps a supervisee's record current as they log. The final sign-off is the BBS attestation you make — usually when the relationship ends — certifying the whole record. See Getting your hours signed off.
