Import existing hours

Bring hours you tracked in another tool into Licentio.

If you've been tracking hours in a spreadsheet or another app, you don't have to retype them. Imports brings them in from a file, then walks you through confirming how each imported event should count.

Open Imports from the navigation. The page lists any files you've already imported, with their format, status, event count, and upload date.

Import a file

Select Import a file. Licentio accepts:

  • A CSV export from Clinical Supervision Tracker.
  • A CSV export from PsyKey.
  • A generic CSV with, at minimum, date and duration columns.

Files can be up to 4 MB. Drop your file on the upload area or select it from your computer.

Review, commit, and route imported events

Importing doesn't drop hours straight into your record. It takes two passes:

  1. Review and commit. Licentio shows the parsed rows. Set a default category and supervisor (Choose from my supervisors or Enter a supervisor manually), correct any row that needs it, then select Commit. If the file isn't one of the supported exports, Licentio infers the columns and shows a confidence for each row so you know what to double-check.
  2. Route for approval. Under Review imported hours, decide for each group how those events get verified: Request approval in Licentio sends them to your connected supervisor's queue, or Mark as signed off externally records that the supervisor already attested to them outside Licentio.

Until you've finished both, the Imports page reminds you how many imported events are waiting for routing, with Review now.

Routing is where an import becomes real experience. Events routed for approval count once your supervisor approves them; events marked as signed off externally count right away.

Gotchas

  • A supported export saves the most cleanup. If your current tool is Clinical Supervision Tracker or PsyKey, use its native export. The columns map cleanly and you spend less time routing.
  • Generic CSVs need clean date and duration columns. If you're building the file yourself, make sure those two columns are present and consistent before you upload.
  • Finish routing. An import isn't done when the file uploads; it's done when every event is committed and routed. Don't leave the last step for later and forget it.
  • Upload a CSV, not a PDF. Licentio reads CSV exports. A PDF export from your old tool is turned away at upload.

FAQ

My tool isn't listed. Can I still import? Yes, as long as you can export a CSV with date and duration columns. Use the generic CSV option.

Do imported hours count right away? Not until you commit and route them. Events you route to a supervisor for approval count once approved; events you mark as signed off externally count as soon as you route them.

Can I see the status of a past import? Yes. The Imports page lists each file with its status and how many events it contained.
