Supervisor workload and team events

See each supervisor's caseload against the cap, their pending approvals and unsigned weeks, and the ledger of every session your organization can see.

Two organization pages look at supervision from the organization's side rather than the associate's. Supervisors shows who is carrying how much. Events is the itemized ledger of sessions your organization can see.

Supervisor workload

Open Supervisors from the organization sidebar (Directors, Managers, and Auditors). The heading is Supervisor workload, and the page opens with a summary line: how many supervisors, how many over the cap, approvals pending, and weeks unsigned. Then one row per current supervisor:

  • Individual/triadic supervisees — "5 total · 1 here" means five people overall, one of them through your organization. Cap 6 is the pathway's cap; Over cap flags a supervisor above it.
  • Pending approvals — how many sessions are waiting, how old the oldest is, and a badge for approvals waiting more than 14 days.
  • Unsigned weeks — weeks of approved hours still waiting for the supervisor's weekly log signature, or All signed.

The footnote on the page is worth reading once: the supervisee cap is advisory. Hours already logged always count, because the duty sits with the supervisor. Counts include supervision in every setting, so they can read high, since the cap applies only in nonexempt settings.

The cap comes from California SB 1024, which limits a supervisor to six concurrent individual or triadic supervisees in nonexempt settings from January 1, 2025. Licentio surfaces it so you can rebalance before it becomes an audit finding; it never blocks anyone's hours.

Supervisors who have left the organization aren't shown; workload is a current-team figure.

Team events

Open Events from the organization sidebar (Directors and Managers). It lists every supervision session logged by your team within your organization's visibility window, newest first, with the date, duration, category, associate, and supervisor. Use From and Through to filter a date range, then Apply. Twenty-five rows load at a time; Load more extends the list.

What's here is exactly what Connect supervision lets in: sessions logged under a connected supervisor–associate relationship, dated on or after that relationship's visibility date, and never after the day a member left. Session notes are not shown anywhere in the organization workspace.

Gotchas

  • "Total" and "here" are different questions. The total is a supervisor's whole caseload across every setting and organization; "here" is the part connected to yours. Only "here" is something you can rebalance.
  • An empty Events page usually means unconnected supervision, not missing hours. If associates are logging but nothing appears, check the Supervision page.
  • Unsigned weeks accumulate quietly. The BBS expects the weekly log signed as the weeks go by. A supervisor with a growing count is worth a nudge before it becomes a pile.

FAQ

Why do I see a supervisor here who has no associates "here"? They're a member with the Supervisor role but no supervision connected to your organization yet. Connect it from the Supervision page.

A supervisor is over the cap. Do their supervisees lose hours? No. The cap is advisory and hours already logged always count. Rebalancing is about the supervisor's obligations, not the associate's record.

Can I approve or sign off from these pages? No. Approving and signing are the supervisor's attestations, made from their own queue. The organization sees the state, not the buttons.

Can I filter events by associate or category? The Events page filters by date. For a per-associate view, open that associate from the Progress page; for a spreadsheet, export session records from Reports and exports.
